TOOL KIT

These are the important tools your Assistants need to perform their functions effectively:

1. Chat Settings:

Use this is determine the assistant's response channels and the wait times and max number of responses on chat.

2. Call Settings:

Use this to set the call parameters especially the background noise and volume. Incoming Call Webhook and Post Call webhook are used to send information about a call to your CRM to be used in automation.

3. Tools and APIs

Pre-built tools add essential capabilities to your assistant, such as extracting details, managing calendars, and creating tasks.

Select and enable the following tools:

- Update Details: Extracts name, email, phone number, and more.

- Address Update: Captures the user's address.

- Calendar Management: Allows the assistant to book, reschedule, cancel, and check appointments.

- Self-Scheduling: Enables the bot to follow up with users based on their availability.

- Create Task: Logs tasks for manual follow-up.

- Send Email: Allows the bot to send email communications.

- Call User: Lets the assistant make outbound calls.

Save changes and test the tools in your assistant.

Tip:

Use task-based prompts to ensure tools are called at the appropriate time in conversations. Example: Insert his in your prompt "Call the function `update_details` to update the user's name, email, and phone number"

4. Connect Knowledge Base

To enhance responses:

Go to the right-hand tab labeled Knowledge Base.

Link the appropriate knowledge base (e.g., "Customer Products").

Ensure the knowledge base contains FAQs, services, and other relevant details.

5. Create and Sync a Calendar:

Step 1.

Create a Calendar:

Go to Calendar Settings in your CRM and select Create Calendar.

Choose a Personal Booking Calendar.

Name the calendar (e.g., Network Test) and set a custom URL path (e.g., network_test).

Step 2:

Sync the Calendar with Your Assistant:

In your assistant's settings, go to the Calendars Tab.

Click Add Calendar and select the newly created calendar.

Test the calendar by booking a test appointment to ensure it functions correctly.

Use Case:

Your AI assistant can check availability, book appointments, and cancel or reschedule as needed.
